Who we are
Tadpole Software LLC, an Arizona limited liability company doing business as Tadpole ("Tadpole", "we", "us"), provides pool-service management software — web and mobile — for pool service companies ("you", "your company"). This policy explains what information we collect, how we use it, and the choices you have. It covers tadpolepool.com, the Tadpole app, and our mobile apps.
Tadpole is designed for businesses. Your company's customers (homeowners and property managers) are not Tadpole users; we process their information on your behalf, under your instructions.
Information we collect
- Account information — your name, email address, company name, and password (stored as a salted hash; we never see the plaintext).
- Business data you enter — your customers' names, service addresses, phone numbers, email addresses, gate codes, notes, pool details, service history, water-chemistry readings, photos, quotes, invoices, and payment records. This data belongs to your company.
- Payment information — payments are processed by Stripe. Card and bank numbers go directly to Stripe and never touch our servers; we store only references (such as the payment status, amount, and a card's brand and last four digits).
- Location data — service addresses you enter are geocoded to map coordinates to power routing and maps. The mobile app may use your device's location while you use routing features; we do not track technician location in the background.
- Usage and log data — standard technical logs (IP address, browser type, pages viewed, errors) used to keep the service secure and reliable.
How we use information
- To provide and operate the service — scheduling, routing, service tracking, invoicing, payments, and messaging.
- To send transactional email on your behalf — invoices and pay links, service-completion notifications, and broadcasts you compose. Recipients can unsubscribe from non-essential email at any time, and we honor those preferences.
- To bill your Tadpole subscription and prevent fraud or abuse.
- To improve the product, diagnose problems, and provide support.
We do not sell personal information, and we do not use your business data (or your customers' data) for advertising.
How information is shared
We share data only with the service providers that make Tadpole work, each bound to use it solely to provide their service to us:
- Supabase — database, authentication, and file storage (photos).
- Vercel — application hosting.
- Stripe — payment processing for your customers' payments (via Stripe Connect) and your Tadpole subscription. Stripe's own privacy policy applies to data it processes.
- Resend — transactional email delivery.
- Google Maps Platform — geocoding, maps, and routing.
- Intuit (QuickBooks Online) — only if your company connects QuickBooks. The sync is one-way (Tadpole → QuickBooks): customers, invoices, and payments you choose to sync are sent to your QuickBooks company file. We store the OAuth tokens needed to do this in isolated, access-restricted storage, and we never read data back out of your QuickBooks account other than to match existing records. Disconnecting QuickBooks in Settings stops the sync and invalidates the tokens.
We may also disclose information if required by law, or as part of a merger or acquisition (in which case this policy continues to apply to data collected under it).
Data ownership, retention, and deletion
Your company owns the business data it enters into Tadpole. While your account is active we retain it so the service works. If you close your account, contact us and we will delete your company's data within 30 days, except records we are legally required to keep (for example, billing records).
If you are a customer of a pool company that uses Tadpole and want your information corrected or removed, contact that company — they control their records — or reach us and we will route the request.
Security
Data is encrypted in transit (TLS) and at rest. Access inside the product is enforced at the database layer with row-level security, so each company can only reach its own records and technician accounts only see what their role allows. No system is perfectly secure; if a breach affects your data, we will notify you promptly.
Your rights
You can access and update your account information in the app. Depending on where you live (for example, California residents under the CCPA), you may have rights to access, correct, delete, or export personal information, and to not be discriminated against for exercising them. Email us and we will honor verified requests.
Children
Tadpole is a business tool and is not directed at children under 13. We do not knowingly collect information from them.
